Terms of Service
These Terms of Service (“Terms”) govern your use of Pipality, the school management platform provided by Akasuya Pvt. Limited (“Akasuya”, “we”, “us”). They cover the Pipality website, the administration dashboard, school websites hosted on Pipality and the Pipality mobile apps (the “Services”). By registering a school, signing in or otherwise using the Services, you agree to these Terms. If you are accepting on behalf of a school or other organisation, you confirm that you are authorised to bind it, and “you” includes that organisation.
1. The Services
Pipality helps schools manage students, academics, attendance, timetables, exams and results, fees, staff, payroll, leave, communication, certificates, ID cards and the school’s public website, through a web dashboard and mobile apps. The features available to a school depend on the package and add-ons it subscribes to. We may improve, change or retire features over time; if we remove a core feature from a paid package during a paid period, we will give reasonable notice.
2. Accounts
- A school registers by providing accurate details about itself and its administrator. The school administrator then creates accounts for staff, students and guardians.
- You are responsible for keeping your login details confidential and for all activity under your account. Tell us promptly at hello@pipality.com if you suspect unauthorised access.
- The school is responsible for who it gives access to, for assigning appropriate roles and permissions, and for removing access when someone leaves.
3. Subscriptions, trials and payment
- Packages. Pipality is offered through packages shown on our website or in the dashboard. A package may be prepaid (a fixed charge for a set period and set student and staff limits) or postpaid (billed at the end of each billing cycle based on the number of active students and staff).
- Free trial. Where a trial package is offered, it is free for the trial period and subject to the limits shown. At the end of the trial you must choose a paid package to keep using paid features.
- Add-ons. Additional features can be bought as add-ons for the current subscription period.
- Billing. Postpaid bills are due within the grace period shown on the bill. If a bill remains unpaid after the due date, access to paid features may be restricted until it is paid. Prices are exclusive of applicable taxes (such as GST), which will be added where required.
- Payment processing. Payments are processed by third-party payment gateways. Your use of those gateways is also subject to their terms.
- Price changes. We may change prices for future billing periods and will notify school administrators in advance. Changes do not affect a period you have already paid for.
- Refunds and cancellations are governed by our Refund & Cancellation Policy.
4. School data
- Ownership. The school owns all data it and its users put into Pipality (“School Data”). We do not claim ownership of School Data.
- Our use. The school grants Akasuya a limited licence to host, process, back up and display School Data only to provide, secure and support the Services, as described in our Privacy Policy and Data Protection & Compliance page.
- School responsibilities. The school is the Data Fiduciary for its students’, guardians’ and staff’s personal data. It is responsible for having a lawful basis for collecting that data, for obtaining verifiable parental consent for children’s data where the law requires it, and for the accuracy of the data it enters.
- Export. The school can export its data during the subscription, and may request an export for up to 90 days after the account is closed.
5. Acceptable use
You must not, and must not allow anyone else to:
- use the Services for anything unlawful, or to upload content that is defamatory, obscene, hateful, harassing or that infringes anyone’s rights;
- upload malware, or try to gain unauthorised access to the Services, other schools’ data or our systems;
- probe, scan or load-test the Services, or interfere with their operation;
- copy, resell, sublicense or reverse-engineer the Services, except as the law expressly allows;
- use the messaging, notification or email features to send spam or unsolicited marketing;
- misuse personal data, including children’s data, obtained through the Services.
We may suspend access that breaches these rules or endangers the Services or other users. Where reasonable, we will notify the school first.
6. Intellectual property
The Services, including the software, design, Pipality name and logo, are owned by Akasuya or its licensors and are protected by law. Subject to these Terms and payment of applicable fees, we grant you a limited, non-exclusive, non-transferable right to use the Services for the school’s internal operations. If you send us feedback, we may use it without obligation to you.
7. Third-party services
The Services connect with third-party services such as payment gateways, email delivery, push notification and spam protection providers. We are not responsible for third-party services, which are governed by their own terms.
8. Availability and support
We work to keep the Services available and secure, but we do not guarantee that they will be uninterrupted or error-free. We may carry out planned maintenance, and will try to schedule it outside school hours and give notice where practical. Support is available by email at hello@pipality.com.
9. Warranties and disclaimers
To the extent permitted by law, the Services are provided “as is” and “as available”. We do not warrant that the Services will meet every requirement of your school. The school remains responsible for checking the accuracy of reports, results, certificates, fee calculations and payroll produced through the Services before relying on them.
10. Limitation of liability
To the extent permitted by law, Akasuya will not be liable for indirect, incidental, special or consequential losses, or for loss of profits, revenue or goodwill. Akasuya’s total liability arising out of or relating to the Services in any 12-month period is limited to the subscription fees the school paid to Akasuya for the Services in that period. Nothing in these Terms limits liability that cannot be limited by law.
11. Indemnity
The school will indemnify Akasuya against third-party claims arising from School Data, the school’s breach of these Terms, or the school’s breach of law, including data protection law.
12. Term and termination
- These Terms apply for as long as you use the Services.
- A school may stop using the Services at any time. Cancellation takes effect as set out in the Refund & Cancellation Policy.
- We may suspend or terminate an account for material breach of these Terms that is not remedied within 15 days of notice, for non-payment, or immediately where required by law or to protect the Services or other users.
- After termination, the school’s access ends and School Data is handled as described in section 4 and our Privacy Policy.
13. Changes to these Terms
We may update these Terms from time to time. We will post the updated Terms on this page and, for material changes, notify school administrators at least 15 days before they take effect. Continued use after that date means you accept the updated Terms.
14. Governing law and disputes
These Terms are governed by the laws of India. The parties will first try to resolve any dispute through good-faith discussion. Disputes that cannot be resolved in 30 days are subject to the exclusive jurisdiction of the competent courts at the place of Akasuya’s registered office.
